Department editions

A paper for one team: templates, choosing who gets it (people, teams, email domains), what feeds it, what it shares with the company edition, previews, switching it on and deleting it.

A department edition is a second paper under your masthead for one team: only the news that matters to them, from the tools they use, on their own schedule. The company edition goes to everyone; a department edition goes only to the people you choose. Manage them at Editions.

Start from a template

Editions›New edition (or onboarding’s Audio & editions tab) offers Sales, Product & Engineering, Customer Success, Leadership Brief and Marketing, plus Blank. A template sets the name, sections (with the tools that should feed each one), tone and length, schedule and review mode, and suggests teams from your directory whose names match (for example a “Sales” group for the Sales Edition). Blank follows the company edition’s sections. Everything is editable afterwards, and names must be unique.

A new edition starts off. Nothing is written or sent on schedule until it has an audience and you switch it on.

Who gets it

Choose the audience in the edition’s Who gets it card, in any mix of:

The card shows how many people it goes to, and who and why, worked out exactly as delivery will. People who unsubscribed are counted separately: they don’t get it by email but can still read it on the web. An empty audience means nobody, never the whole company. The audience saves with its own Save audience button.

On the web, a department edition is readable by its audience plus owners, admins and editors, who run the paper and see every edition.

What feeds it

The edition says in one line what it covers and where from, for example “Your Sales Edition covers closed deals and expansions, customer calls and competitive deals, from HubSpot and Gong”. Choose which connected tools it reads (all, or a subset), and give each section its own feeds in the section editor. If its template works best with a tool you haven’t connected, it offers Connect.

Sections can be Same as the company edition, which follows the company edition as it changes, or Customize, which starts from the company edition’s sections and lets you reorder, rename, cap and feed them separately.

A department edition keeps its own time zone: its dates and “yesterday” follow its schedule, so a London team’s paper covers London’s day. Reviewers are any editor, admin or owner unless you name specific people.

Preview, then switch it on

Preview this edition prints a private preview with the edition’s own sections, sources, tone and look, then opens it in the galley. Nothing is sent. Quick look shows your unsaved section changes on the latest news. The setup checklist (who gets it, sections, schedule, a preview, switch it on) stays on the edition until it’s on.

On the Editions page each edition shows Live, Needs audience, Paused (switched off after it has gone out), Off (not switched on yet) or Paused on your plan, with who it goes to, the next delivery, its sources and its last issue.

The Editions page shows how many you use. At the limit, New edition offers an upgrade. After a downgrade, the oldest department editions keep publishing and the rest are paused on the plan.

Deleting an edition

Deleting stops it and clears its audience (nobody is removed from your recipients list, and directory mappings to it are dropped). An edition that has gone out leaves the Editions page but its past issues stay in the archive for owners, admins and editors. One that never went out is removed completely.
